Team, assignments and alerts

Invite teammates, give them their own numbers, assign chats, leave private notes, and get WhatsApp alerts on your own phone.

Invite your team

Open Team in the dashboard and create an invite link for someone's email — or ask your assistant: "invite priya@yourcompany.com as a member." Send them the link however you like. They sign up (or sign in) with that email and land in your workspace. Links work for 14 days; creating a new one for the same email replaces the old one.

Seats come with your plan — 2 on Starter and during the trial, 5 on Pro, unlimited on Scale — with no per-seat charges. Pending invites hold a seat until they're used or cancelled.

An account belongs to one workspace. If the invited person already signed up and has their own workspace with numbers, contacts or messages in it, invite a different email for them.

The same rules apply in chat: a member's assistant can't start a bulk send. A workspace always keeps at least one owner. Removing someone unassigns their chats; their notes stay.

Give teammates their own numbers

On Team, an owner can pick which WhatsApp numbers a member works. That member then:

  • sees only chats on those numbers (plus any chat assigned to them),
  • sees only those numbers' templates and metrics,
  • can reply and start chats only from those numbers — in the dashboard and through their assistant.

New chats are handed out automatically: when someone writes to a number that has people, the chat is assigned to one of them, taking turns. They get an alert if they turned on "a chat is assigned to me". Members with no numbers ticked see every number, and owners always see everything. From chat: "give Priya the +44 number."

Assign chats

In the inbox, pick who's handling a chat from Assigned to at the top of the conversation. The list filters to All, Mine or Unassigned. From chat: "assign the chat with Ana to me" or "show my unassigned chats."

Private notes

Add a private note under a conversation to leave context for the team — "refund approved, courier Friday." Notes appear in the timeline in yellow and are never sent to the customer. Your assistant sees them too when it reads a conversation.

WhatsApp alerts on your phone

Each person can get a WhatsApp message on their own phone when:

  • someone asks for a person (a chatbot flow hands over),
  • a new customer writes for the first time,
  • a chat is assigned to you,
  • a bulk send finishes (with how many failed).

Set your number and choose events under Notifications (in the menu under your workspace name, top left), then Send a test alert. Or ask your assistant: "send me WhatsApp alerts on +44 7700 900418 when someone asks for a person."

Alerts come from your business number as a short utility template (sendfromchat_team_alert) that's created and submitted to Meta automatically the first time someone turns alerts on — approval usually takes minutes. Meta charges its utility rate per alert (for example $0.0034 in the US, $0.022 in the UK); alerts aren't stored in the inbox and don't count against your plan. If a chat is assigned, only the assignee is alerted about it.
